Merchandise Assistant

Our Merchandise Assistants provide diversified support for multiple buyers in a dynamic fast-paced work environment. Our Merchandise Assistants possess strong communication skills and act as a liaison between the Buyers, Internal Business Partners, and the Vendor Community. They must also possess strong organizational skills and the ability to multitask while maintaining attention to detail. They are resourceful and confident in problem solving. Duties and Responsibilities:

  • Enters purchase orders into appropriate systems in an accurate and timely manner for buyers across multiple departments.
  • Follows up on all late orders and upcoming shipments and completes balances as needed.
  • Completes all purchase order modifications including but not limited to delivery extensions, cancellations, and cost & retail changes.
  • Works with internal departments to resolve issues (i.e. Accounts Payable, PO departments/chain moves, Planning, Distribution and Fulfillment Centers, etc.)
  • Communicates with vendors via phone and email regarding PO modifications/changes, PO shipment statuses as well as any other inquiries.
  • Communicates with logistics to ensure vendors ship correctly.
  • Creates and runs reports for buyers as needed (i.e. On Order, Sales, etc.)
  • Organizes and maintains merchandise samples and sample space for Buyers including returning samples to vendors.
  • Assists in preparing for Style Out and Strategy meetings by gathering samples, preparing selling recaps, etc.
  • Assists Buyers with special projects as needed (i.e. recap projects, trend recaps, trend boards, etc.)
  • Performs general tasks such as printing, filing, etc.
  • Maintains positive relationships across different areas of business including our global offices.

What you will do:

Directly oversee miscellaneous construction projects for all TJX chains. Assist in project schedules and assigning General Contractors. A/P Control Specialist

Summary:

Coordinates the timely payment of merchandise invoices, ensuring accuracy which includes the completeness of documentation and receipt of goods, to eliminate financial exposure. Identifies and ensures proper set-up of vendor payment details, prior to payment issuance. Completes the reconciliation process between invoice and receipt of goods, to determine if vendor chargebacks are required or if over/short should be written off. Responsibilities:

  • Process all Sierra Merchandise vendor invoices for payment. This includes capturing receiving detail and status to make payment determination, ensuring proper and complete vendor and factor relationship set ups, timely and accurate entry of invoices directly in Oracle, and review of others’ entry to ensure accuracy.
  • Ensure receipt of all required documentation in preparation for any wire transfer payments and communicate to Expenses Payable or Treasury.
  • Gather all information to resolve vendor disputes and act as a liaison for the vendor and Merchandising.
  • Provide customer service to associates (mainly the Buying community, Sierra Fulfillment Center, Operational Accounting, and TJX Digital) within the organization and vendors/factor contacts outside the Company.
  • Identify and research all variances between vendor invoices and receiving, make the appropriate determination of action needed (issuance of vendor chargebacks, offset against other purchase orders, write-offs, and escalation to the Buying community as deemed appropriate); ensuring PO is complete and closed out timely.
  • Collect and report on invoice backlog statistics and productivity for Management.
  • Maintains documents through our imaging partner in accordance with the Corporate Retention Policy.
  • Special projects as assigned.

Job Summary

The Operations Specialist is an integral part of our Talent Acquisition team. In this role, you will provide support throughout the recruitment lifecycle and deliver an impactful TJX employment brand experience to all candidates. You will partner with Recruiters, Hiring Managers, and Human Resource Business Partners to achieve our mission of attracting and hiring the best talent.

Key Responsibilities

  • Delivers the TJX employment brand experience to all candidates.
  • Acts as a conduit between the recruiter, the candidate, and the hiring team to deliver a consistent, exemplary candidate experience.
  • Schedules onsite, video and phone interviews, at all Corporate Office, Field and Distribution Center locations.
  • Coordinates candidate travel arrangements, processing travel expenses, generates and sends offer letters directly to candidates, initiates and monitors background checks and prepares new hires for onboarding.
  • Initiates and tracks Pre-hire Background Checks, adjudicates all Former Employment, Education and Social Security Flags and assists in the adjudication of Criminal Flags where appropriate.
  • Executes and facilitates US Corporate New Hire Orientation including verifying I9’s for all Home Office associates weekly.
  • Maintain accurate records of work requested and completed to meet Service Level Agreement timelines.
  • Works collaboratively with other Operations Specialists to manage workload and additional responsibilities.
  • Utilizes Talent Acquisition tools and resources, including our Applicant Tracking System (ATS), to apply best practices within each recruitment lifecycle.
  • Models the TJX culture of associates feeling welcomed, valued and engaged.

Education and Experience Requirements

  • Bachelor’s Degree or equivalent experience required
  • 1+ year of administrative experience, experience in Talent Acquisition, Staffing, or Human Resources preferred
  • Proficiency in Microsoft Office 365 with emphasis on Microsoft Outlook
  • Prior experience with Applicant Tracking Systems or Background Check Screening Technologies a plus

Administrative Assistant III: New York Buying Office

The Administrative Assistant III will report into the Manager of Buying Office Operations and provide advanced administrative support requiring a broad and comprehensive knowledge of company polices, procedures and practices.

Major Areas of Responsibility

  • Independently ensures office systems and divisional procedures, policies and practices are administered effectively. Interfaces with a variety of internal and external customers on a variety of issues which require tact and diplomacy. May provide functional guidance and training to other associates within the Division.
  • Responds to questions and requests and researches information. Interfaces with a variety of customers on issues which are complex or of a confidential nature. Involves appropriate associates from other departments or divisions to resolve issues. May provide functional guidance and training to other associates within Division.
  • Provides diversified, secretarial and administrative support. Composes correspondence and memorandums. Schedules and maintains calendar of appointments, meetings, travel itineraries and coordinates related arrangements.
  • Analyses operating practices and creates/revises systems and procedures as necessary. Organizes and maintains office filing system, record keeping systems, office layout and budgetary and personnel requirements.

Required Skills

Merchandise Associate: You will be responsible for delivering a highly satisfying customer experience demonstrated by engaging and interacting with all customers, embodying customer experience principles and philosophy, and maintaining a clean and organized store environment.

Loss Prevention Customer Service Agent: You will provide frontline guidance and support to the Store Investigations team, by promoting awareness of external theft issues and investigation procedures, as well as building and maintaining partnerships with other members of Loss Prevention, Store Management, vendors and external agencies.

Prerequisite: High school diploma or equivalent. 18 years of age. Some computer skills.

Store Coordinator: You will help decide which items should move from the backroom onto the sales floor, train sales associates, and monitor markdowns so the customers always get the best deals.
